This procedure describes how to move a tenant from one unit to another at a commercial property. It's divided into two parts: moving the tenant out of the old unit and into the new one. The procedure includes moving the deposit and the tenant ledger to the new unit.
Note: Before you start, make sure the tenant does not have a prepay balance. If there is one, you will not be able to transfer the security deposit as shown in the following procedure.
To move the tenant out of the old unit
Open the tenant record.
Click the Add Charge button at the top of the screen.
Create a negative charge to the Deposit account (by selecting the Deposit charge code).
Click Save.
In the same way, create a positive charge to Deposit Refund account.
On the Tenant screen, click Receive Payment to create a Zero Receipt tying the two charges together. The Zero Receipt is shown below.
Open the tenant ledger and export the ledger as a PDF.
Save the file on your computer.
On the Tenant screen, change the tenant's status to Past.
This completes the process of moving the tenant out.
To move the tenant into the new unit
Open the Property screen.
Go to Units tab.
Locate the unit in the grid and click the Add Tenant icon.
Complete the Add New Tenant screen and click Save.
When you save the tenant, Breeze gives you an option to create the security deposit charge.
If the deposit amount is correct, click Continue. (Note: The amount comes from the unit record.)
If the deposit amount is not correct, click Cancel and create the charge manually. An example is shown below.
The charge is a positive charge to the Deposit account.
On the Tenant screen, click Add Charge and create a negative charge to the Deposit Refund account.
Click Receive Payment and create a Zero Receipt tying the two charges together.
On the Tenant screen, you can see the security deposit amount and the new unit number.
To attach the old ledger to the new unit, go to the Attachments tab and attach the file.
Note: The old ledger is an attachment and is for reference only; it will not appear on the Ledger tab.
