By default, each GL account is given a four-digit number, for example:
4500 Rent
4510 Parking
4511 Storage
You can change the default format to suit your business requirements.
To change the formatting for GL accounts
Go to Company Settings > Account Settings and click the Edit icon (the pencil).
In the GL Account Format field, each question mark (?) represents a numeral.
You can add additional question marks for extra digits, and you can use hyphens (-) or periods (.) as dividers.
For example, you could create one of the following formats:
????-????
??.????
????-??
You can always modify the format by increasing the number of digits and adding, removing, or changing the location of dividers; however, you can never decrease the number of digits. In other words, once you add digits, you cannot go back.
Changes to Existing Account Numbers
If you add digits to the format, Breeze adds zeroes to the end of each GL account. It doesn’t matter whether you add the question marks at the beginning or the end of the existing format, zeroes are added to the end.
For example, account number 4560 will change in the following ways if you change the format.
Format | Account Number |
The default format: ???? | 4560 |
New format: ??-???? | 45-6000 |
New format: ????-???? | 4560-0000 |
New format: ?????.?? | 45600.00 |
