How do I send a Notice to Pay or Quit?

A Notice to Pay or Quit tells tenants who are past due that they need to catch up on missing payments and how long they have before you start the eviction process.

In Breeze, it's part of the Correspondence feature -- the letter can be attached to an email message and sent directly to tenants. If you are legally required to deliver it in another way, you can print the letter, and then mail it or deliver it by hand.

Breeze has three default templates: a 3-day notice, a 5-day notice, and a 10-day notice.

To generate pay or quit notices

Go to Reporting > Correspondence > Tenant. Select Notice to Pay or Quit.

The filter appears.

Complete the screen.

Some of the fields are used to filter the tenants, some provide input for the letters, and some are options to hide material.

  • Filter Fields: Property, Tenant, Status, Amount Greater Than, and Charge Code.

Use Amount Greater Than to find tenants who owe more than a specific threshold, for example, $1000.

Use the Charge Code field if you are only interested in tenants who are past due in one type of charge, for example, rent.

Email on File Options allows you to filter for recipients who have an email address in the system or those who do not. For example, you could run the function once for tenants who have an email address, and send the email, and then run it again for those who do not, and print the ledgers and mail them via regular mail.

  • Input for the Letters: Date on Form, Letter Type, Sender, Recipient, Notes, Include Charge Detail, and Include Occupants.

Include Charge Detail adds a table to the letter that lists all the overdue charges.

Include Occupants generates letters for all the occupants of a unit, not just the main tenant.

  • Hide Material: You can hide the unit number, details about the company, and any notes you enter on this screen. If you do select the Hide checkbox, this information will be included.

Click Display. The screen displays the tenants that match the filter criteria.

There are two ways to use the screen:

  • You can select multiple tenants and use the buttons on the top left:

View: Downloads the letters in a single PDF, so you can open them and view them.

Email: Sends the emails with the letters attached

  • You can work with individual tenants, using the links at the end of each row:

View: Downloads the letter, so you can open it and view it.

Preview: Opens the email message, so you can view it or edit it.

Send: Sends the email message with the attached letter.

After Sending the Letters

Every email that is sent to a tenant from Breeze is shown on the Communication History tab for the tenant.

Having all the communication with a tenant in one place can be useful if you are preparing for a legal proceeding. You can email the information on the tab, or export it to PDF or Excel.
