How do I email statements to tenants?

Statement vs. Invoice

A statement is a record of recent charges and payments. By default, it shows the current month and the previous month, but you can adjust the From month in the filter to go farther back.

An invoice shows a group of related charges, typically, the charges generated by monthly posting for the current month.

To email statements to tenants

Go to Reporting > Correspondence > Tenant. The Correspondence screen appear.

By default, the screen opens at the filter for the Tenant Statement.

Complete the screen.

Property

Tenant / Status

You can filter by property, tenant, and/or tenant status.

Age As of

The date that appears at the top of the statement, and the date that is used in the aging section at the bottom.

The default is today's date, but you can change it if needed.

Month Range

The default range is the beginning of the previous month to the end of the current month, but you can change it if needed.

Sender

The name and email address shown as the "sender" of the email. Options are as follows:

  • Company The name and email address of the property management company.

  • Property The name and email address of the property.

  • Owner The owner's name and email address. Note: If the property has multiple owners, this option is not available.

Recipient

The person who will receive the email. Options are as follows:

  • Main Tenant

  • Roommate

  • Spouse

  • Guarantor

  • Plus any Contact Types that have been set up for tenants or commercial leases, for example, Billing.

Note: You cannot multi-select recipients. If you select a recipient who is not the main tenant, the main tenant will not receive an invoice.

Email on File Options

Allows you to filter for recipients who have an email address in the system or those who do not. For example, you could run the function once for tenants who have an email address, and send the email, and then run it again for those who do not, and print the invoices and mail them via regular mail.

Notes

Text entered here appears in the Notes field at the bottom of each statement.

Open Charges

If selected, Breeze will filter for tenants with open charges.

Include Occupants

Each statement will include the names of any Additional Tenants on the tenant record.

Show Reversal

The statement will show reversed charges and receipts.

Hide Unit No (Address)

The statement will not include unit numbers in the address block.

For single family homes, the Unit field on the invoice is left blank.

Date Asc, Date Desc

The order of the items on the statement by date.

Descending order places the most recent items at the top and is the default selection.

Click Display. Breeze generates statements.

You can download the statements by clicking View, or you can email them directly to the tenants. When you email a statement, it is also attached to the tenant record in Breeze so that you can see what was sent and when.

You can select all the tenants by clicking the check box at the top left of the grid (to the left of Property).

If you want to download and print the statements, select all the tenants and then click View Selected. Breeze generates one PDF that contains all the statements so you can download and print them easily.

You can see the email message that will be sent by clicking Preview. The email opens in a separate window and can be edited.

Email Messages

Each statement is attached to an email message, generated from a template.

(The language in the template tells tenants that they can pay their rent online. If you are not set up for online payments, you should edit the template.)

Envelopes for Tenant Statements

If you mail tenant statements, we recommend using a standard #10 envelope with two windows.

Envelope Size: 4 1/8 X 9 1/2 (no smaller than 9).

Top Window: 1 1/8 X 3 5/8. Located 3/8 from the left, 1 15/16 from the bottom.

Bottom Window: 1 X 3 5/8. Located 3/8 from the left, 1/2 from the bottom.

The report output has been optimized to fit this size.
