To track interactions with tenants, we recommend using the Activity Feed button. For example, a tenant calls and explains that he's just been laid off and his rent will be two weeks late. Open the Tenant screen and click the Activity Feed button.
The Activity Feed pane appears.
Enter a note to record the conversation. When you click Submit, the new item appears on the timeline.
The Activity Feed tracks the content of the conversation, the date, and the user. Also, you can choose to put a reminder on the calendar.
Activity Feed on Transactions
Because this interaction affects a transaction, you can add a note there as well. Look up the charge, open the Activity Feed, and enter an explanation.
Activity Feed Report
You can search for Activity Feed notes by using the Activity Feed Report.
For example, you know you talked to a tenant about paying rent late, but you can't recall which tenant. Go to Reporting > Admin Reports > Activity Feed and filter by your username.
The system quickly returns the note left on the Tenant screen and the note left on the Charge screen about the same interaction.
Right side of screen:
The report has a variety of filters, allowing you to find activity feed records quickly.
Activity Feed vs. the Notes Field
The Tenant screen has a Notes field as well as the Activity Feed.
The Notes field is good for static information, for example, the tenant's birthday. For interactions with tenants that develop over time, we recommend the Activity Feed, because you can leave multiple notes, each with a time stamp.
Character Limit
On the Activity Feed, there is a limit of 1200 characters for each entry.
