How can I track extra information about my tenants?

On the Tenant screen, there is a tab for Other Info.

Use this tab to enter any extra information about the tenant that you would like to track; for example, their license plate number and the type of car they drive. You can change the labels to meet your specific requirements.

To customize the Other Info tab

Go to Admin > Toolbox > Custom Lists. Select Res Tenant Fields (for residential leases) or Comm Tenant Fields (for commercial leases).

Res Tenant Fields comes with a set of default labels, but you can change them as needed. You can also move fields up or down by using the arrow keys.

On the tab for commercial leases, there are two rows of labels: one for Commercial Office leases and one for Commercial Retail leases. This allows you to track different kinds of information for different types of commercial leases.

For Commercial, there are no default labels -- every one is user-defined.

Other Info Report

You can run a report that shows information from a group of tenants at once -- for example, you might want a list of all the cars and license plates at a given property.

Go to Reporting > Tenant > Other Info. Complete the filter.

In this example, we use the Include Fields option to limit the report to License Plate # and Vehicle Model. If you leave this option blank, the report displays all the Other Info fields.

Click Display. The report appears.

For each tenant, the report has a link to the Unit screen and the Tenant screen.

Note: Any information in green is linked to another screen.
