How do I record a prepayment?

For prepays, there are two different scenarios, depending on whether the tenant has open charges.

To create a prepayment when the tenant has no open charges

If you try to create a receipt for a tenant, and there are no open charges, Breeze asks if you want to create a charge.

For a prepayment, select No. The Prepayment screen appears.

Complete the screen and click Save.

The Receipt Information screen appears.

In the detail section, the payment is marked as a prepayment: the Status is Available, the Charge Code is Prepayment, and the Notes say "Available Prepay".

The Auto-Apply checkbox on the Receipt screen follows the default for auto-apply set at the system level (Company Settings > Account Settings). You can change on the Receipt screen, if needed.

The tenant ledger shows a negative balance.

To create a prepayment when the tenant has open charges

When you create a receipt for a tenant who has open charges, the Receipt Information screen appears.

By default, the Total Amount field is equal to the sum of the open charges. To create a prepay, change the Total Amount to include the extra amount that the tenant is paying. In the example shown above, the tenant is paying for May and June at the same time.

When you leave the field, Breeze automatically adds a line for the prepay.

Click Save.

The Receipt screen shows the prepay amount.

The tenant ledger shows a negative balance.
