By default, Breeze uses a single draw account for owner distributions. If you want to track distributions with separate accounts, you can set up individual draw accounts (one per owner) and link the accounts to the owner records. When you run the Pay Owner function, Breeze will create a payable for each owner using their own draw account, instead of the default draw account.
This article is divided into three sections:
Adding an individual draw account for an owner.
Linking the draw account to the owner record.
Running the Pay Owner function for multiple owners with individual draw accounts.
To add an individual draw account for an owner
Go to Admin > GL Accounts. Open the default Owner Draw account (account 3400).
Click the Copy button to create a new GL account.
Use the same settings as the default account, except for the following:
Code | Enter a code that is close to the default draw account, so that the new account will be in the same range in the chart of accounts. The default draw account is 3400; in the example above, the code is 3410. |
Description | Add the owner's name to the Description field, so the account can be easily identified on reports. |
An example of an individual owner draw account is shown below.
To set the draw account on the Owner screen
Open the Owner screen. (From the top menu, select Owners. A list of owners appears. Select the individual owner from the list).
Click the Edit icon (the pencil).
In the Draw Account field, select the account you set up for this owner. If you leave it blank, Breeze will use the default account.
To run the Pay Owner function with individual draw accounts
Go to Accounting > Accounts Payable > Pay Owner. The Pay Owner screen appears.
Select the owners.
Leave the Draw Account field set to the default; the individual accounts will override it. Click Display and Post to create payables to each owner.
The payables show the individual draw accounts. Two examples are shown below.
