Leasing Workflow with RentCafe

This article describes how a prospect uses RentCafe to become a resident in a property managed by Breeze.

Note: In Breeze, a potential tenant is referred to as a "prospect."

When you start using Breeze, you can immediately start using RentCafe, but it takes some additional time to set up online payments and tenant screening.

Sequence Without Online Payment or Screening

In RentCafe:

  • A prospect finds a property and a unit.

  • The prospect applies for the unit.

In Breeze:

  • When the prospect applies in RentCafe, a prospect record is created in Breeze.

  • The property manager receives email messages from RentCafe, stating that somebody has applied for the unit. The application is attached.

  • The property manager contacts the prospect to pay the application fee (if necessary).

  • The prospect pays the application fee. The manager records the transaction in Breeze.

  • If the property manager approves the prospect, the manager changes the status of the prospect to Resident. A tenant record is then created automatically in Breeze.

Sequence with Online Payments (but no Screening)

In RentCafe:

  • A prospect finds a property and a unit.

  • The prospect applies for the unit, paying the application fee online.

In Breeze:

  • When the prospect applies in RentCafe, a Prospect record is created in Breeze.

  • The property manager receives email messages from RentCafe, stating that somebody has applied for the unit. The application is attached.

  • If the property manager approves the prospect, the manager changes the status of the prospect to Resident. A tenant record is then created automatically in Breeze.

Sequence With Online Payment and Screening

In RentCafe:

  • A prospect finds a property and a unit.

  • The prospect applies for the unit, paying the application fee online.

  • ScreeningWorks Pro screens the prospect.

In Breeze:

  • When the prospect applies in RentCafe, a prospect record is created in Breeze.

  • The property manager receives email messages from RentCafe, stating that somebody has applied for the unit. The application is attached. The results of the screening are included in the email.

  • If the property manager approves the prospect, the manager changes the status of the prospect to Resident. A tenant record is then created automatically in Breeze.

Other Outcomes

Instead of approving the prospect, the property manager can reject him or her. Also, the prospect can log into RentCafe and cancel the application.
