How do I set up applicant screening?

When a prospect applies for a unit, RentCafe sends the prospect's information to ScreeningWorks Pro, owned by RentGrow, which does the actual screening. ScreeningWorksPro then provides a report that can be accessed from the Prospect screen.

After you set up online payment processing, you can have Breeze Support enable applicant screening. Start a chat with Support. When Support enables screening for your system, you can "turn it on" for each property.

If you are not currently licensed for Screening, please contact your Sales Representative.

To enable applicant screening for a property

Your property must have a real address to successfully enable screening. Review the Property screen. If your property has a name, or if you have set up multiple properties as one property (e.g. 400-402 Main Street), ensure the second row of the address fields contains a real, verifiable property address.

Screening in RentCafe requires that the property has an application fee. To confirm that there is a fee, open the Property screen and check the Property Info tab.

If you do not charge application fees, you can leave the Application Fee field blank. Instead, you will need to navigate to the property's RentCafe tab and make sure that Do not charge application fees is ticked.

Note: If you don't have an application fee set up, and you also don't tick Do Not Charge Application Fees, screening will fail to run for any prospects who apply on RentCafe.

Then go to the row of tabs on the left side of the Property screen and click the Screening tab.

Select Enable Screening.

Enter contact information and an Invoice Email Address (invoices for the screening service are sent via email).

Bulk Option

Instead of enabling screening for one property at a time, you can enable it for multiple properties at once. Go to Admin > Toolbox > Screening Bulk Update.

After you enable screening for the property, you enable it for RentCafe.

Go to the RentCafe tab of the Property screen. Open the Settings tab, and click Screen RentCafe Applicant.

When a prospective tenant completes an application on the RentCafe website and pays the application fee, the prospect is screened.

The property manager receives an email stating that there is a new prospect. You can view the screening or credit report in Breeze, by going to the Prospect screen and clicking on the screening status.

The report contains a score and background information, but it does not say if the prospect "passed" screening. All eligibility criteria are set by you (the client), and all rental decisions are made by you.

The actual screening is not done by Yardi Breeze -- it's done by ScreeningWorks Pro, owned by RentGrow.

Screening in Breeze

If prospective tenants apply in person (instead of using RentCafe), you can screen them directly in Breeze.

Screening in Breeze does not require that the property have an application fee. Also, if you plan to do all your screening in Breeze, you should not enable screening in RentCafe.

Screening Without a SSN

There is an option to allow screening without a Social Security Number (SSN). Go to the Company Settings screen, open the Account Settings tab and set Allow Screening Without SSN to Yes.

Errors When Enabling Screening

If you are trying to enable screening and you see Error Code: 11063, you need to review the address on the Property screen. You must enter a real physical address or we will be unable to activate screening.
