Secure Screening Report Access

Secure Screening Report Access (SSRA) is a feature that automatically delivers RentGrow tenant screening reports via a secure online link to all individual applicants in California and Colorado who provide a valid email address when they apply.

Note: Secure Screening Report Access only applies to: (1) applicants who are screened using RentGrow; and (2) applicants to properties located in California and Colorado (although Secure Screening Report Access will continue to be expanded to other states).

About Secure Screening Report Access

  • By default, Secure Screening Report Access is enabled for all properties in California and Colorado that use RentGrow’s tenant screening services.

  • The report is delivered by a secure online link sent to the applicant’s email address once the application result is no longer “pending.”

IMPORTANT NOTICE FOR CALIFORNIA OPERATORS

Delivery of a tenant screening report to an applicant in California is the property’s responsibility, and not delivering a screening report when required by California law can subject you to significant fines. Accordingly, properties must have their own manual delivery process in place to ensure that reports are delivered within all deadlines that apply to the property in the event a report cannot be delivered by SSRA. For example:

  1. Secure Screening Report Access cannot deliver a screening report to a tenant where the property does not collect an email address and provide it to RentGrow as part of the application workflow. In this case, SSRA does not apply, and manual tracking and delivery is required and entirely the property’s responsibility.

  2. Even when an email address is collected by the property and provided to RentGrow as part of the application process, emails are sometimes undeliverable due to an invalid email address, internet service provider interruptions, etc. To help you better manage your manual report delivery process when emails are collected and provided to RentGrow but where the screening report is undeliverable, clients can access a daily delivery status report that contains missing emails and email bounce-backs from the previous day.

  • For security purposes, applicants must verify the following personally identifiable information and then input a one-time verification code (delivered by email):

    • First and last name

    • Date of birth

    • State where the address used on their application is located

    • Zip code where the address used on their application is located

  • For security purposes, the verification window expires after 30 days.

  • Applicants who attempt to view or download their screening report after the verification window expires are informed that they can obtain a copy of their tenant screening report directly from RentGrow at any time. This can be done quickly, easily, and free of charge by visiting .

What the Applicants See

Applicant Online Leasing Workflow

Applicants completing the online leasing workflow will be presented with state-specific Secure Screening Reporting Access (SSRA) language, which may vary depending on the screening provider used. For properties located in the state of California, an additional checkbox will be presented as required by the California Investigative Consumer Reporting Agencies Act (ICRAA). Regardless of the response to this checkbox, all applicants will receive a copy of their screening report.

Applicant Identity Validation Workflow

Once the application result is no longer “pending,” the applicant will receive their report by email:

Note: For security purposes, the verification window expires 30 days after the applicant receives the email.

After the applicant clicks the Verify Me button, they must confirm their identity by entering the following information:

  • First and last name

  • Date of birth

  • State where the address used on their application is located

  • Zip code where the address used on their application is located

When the applicant selects the Request Verification Code button, an Enter Verification Code field appears and the applicant receives a separate email with their verification code. This email is sent separately from the report link for security purposes.

Note: The verification code expires 10 minutes after the applicant receives the verification code email. Applicants who do not enter the code within the 10-minute window can resend a new code by clicking the link in the Didn’t receive a verification code?

The applicant must accurately enter the verification code they received in their email as part of the identity verification process.

After the applicant successfully verifies their identity and enters the one-time verification code, they can view or download their tenant screening report and any related disclosures.

Daily Email Delivery Status Report

Breeze clients using ScreeningWorks PRO will automatically be subscribed to a daily email delivery status report for Secure Screening Report Access. This report includes details on email bounce-backs and any applicants with missing email addresses from the previous day. If there are no applicants to review, users will not receive an email. Yes, a report is sent for each unique screening request with a valid email address at the time of screening.

Are screening reports sent when the result is still in pending status?

Email delivery of the screening report will not take place until the application result is no longer “pending.”

What if an applicant provides most of the correct information for their identity validation, but incorrect information for just one field?

All applicant identifying information must match exactly what was submitted by the applicant or the leasing agent with the screening request. For the applicant’s security, discrepancies will prevent the verification process from completing, so the property should make sure the applicant understands the information that is being requested. (To better assist the applicant, refer to the “What the Applicant Sees” section, above.)

What should the property do if an applicant contacts them because they cannot complete the security verification?

The property can verify that the applicant is requesting the report on their own behalf, print the report from the screening results page, and provide it directly to the applicant. If further assistance is needed, the property should contact RentGrow Customer Service directly and immediately. If delivery is required by California law, delivery is the property’s legal responsibility so the property should not tell the applicant to contact RentGrow in this situation.

What is the maximum number of attempts allowed for the identity validation step before an applicant is locked out?

For security reasons, applicants are allowed a maximum of 10 attempts. After that, they will be locked out of the verification process. The lock-out will reset after 10 minutes.

What is the maximum number of attempts allowed for the verification code step before an applicant is locked out?

For security reasons, applicants are allowed a maximum of 3 attempts. After that, they will be locked out of the verification process. The lock-out will reset after 10 minutes.

What is the expiration period for the emailed link to the tenant screening report?

For security reasons, the identification verification link for the delivered report will expire after 30 days. If an applicant attempts to complete the verification process after 30 days, they will receive a message instructing them on how to quickly and easily obtain a copy of the delivered report directly from RentGrow, free of charge.

What is the expiration period for the emailed verification code?

For security reasons, the identification verification code will expire after 10 minutes. If the applicant needs a new code, they can easily request one via the “click here to send another code” provided on the verification screen.
