This article describes how to generate monthly reports for owners.
To generate a monthly report packet for owners
Go to Reporting > Monthly Reports.
Complete the filters.
Report Packet | Select the packet you want to send. For information about setting up packets, click here. |
Reporting Month | Enter the month you are reporting on. |
Monthly Reports:
| On the Owner screen, there is a filter where you can specify how each owner wants to receive reports.
On the Monthly Report Packets screen, you can filter owners according to how they want to receive reports. |
Property | You can filter by property. If you leave the field blank, Breeze will generate reports for all properties. |
Owner | You can filter by owner, if needed. |
Email on File Options | This field allows you to filter for recipients who have an email address in the system or those who do not. For example, you could run the function once for owners who have an email address, send the email, and then run it again for those who do not, and print the ledgers and mail them via regular mail. |
Notes | Text entered here will be included in the email that is sent to the owner with the report packet. The email is generated automatically, based on a template, and the text is included at the end of the message. |
Consolidate | Select Consolidate if you want to create portfolio reports (for each owner) instead of individual property reports. |
Cover Page | Select this option to include a cover page on the packet of reports. |
Click Display. Breeze shows the matching owners and properties.
For each property, there are three links: View, Email, and Publish.
View: Downloads the report packet, so you can check it before sending it to the owner.
Email: Sends the report to the primary owner (using the email address on the Owner screen).
Publish: Makes the report available on the Owner Portal. The owner can then log in to the Owner Portal and download the report. If a property has more than one owner, and they can all access the Owner Portal, this option makes the report packet available to all of them. For more information about the Owner Portal, click here.
There is also a row of buttons on top of the screen that you can use with multiple properties:
To use them, select one or more properties and click the appropriate button. Publish, Email, and View work the same as described above.
Note: Inactive owners and inactive properties do not appear on this screen. This is by design; since there are no transactions, there is no need to send a report.
