How do I delete properties, tenants, etc.? (Delete Objects function)

With the Delete Objects function, you can do the following:

  • Delete GL Accounts

  • Delete Bank Accounts

  • Delete Owners

  • Delete Properties

  • Delete Units

  • Delete Unit Types

  • Delete Tenants

  • Delete Vendors

  • Delete Customers

To delete an object

Go to Admin > Toolbox and select Delete Objects.

Select an Object Type.

Select the specific object you want to delete. For example, if Object Type = Property, you would select a property.

Note: You cannot delete objects that have transactions linked to them.

Click Delete. A message appears.

Enter a reason, and click OK. The object is deleted.

Note: Entering a reason will help provide an audit trail. You can view the deletion in the Activity Feed report (Reporting > Admin Reports > Activity Feed). If you entered a reason, it will appear there.

Deleting Linked Objects

In general, you cannot delete objects that are linked to transactions. For owners and properties, there are additional considerations.

Properties

If you delete a property that has been set up with units and tenants, everything under the property will also be deleted (the units and the tenants).

If there are any transactions linked to any of the objects, the system will not allow you to delete the property.

Note: You should not delete a property with a financial history to indicate that you no longer manage it. You should inactivate it instead. This ensures you still have access to the financial reports.

Owners

You cannot delete owners who are linked to properties. Before you delete an owner record, you must remove all the links to properties. You can do this by deleting the properties, or by changing the ownership of the properties, if they have multiple owners, so that the owner you want to delete is no longer linked to them.

In addition, you need to remove any Owner Portal users that are linked to the owner record. (Open the Owner screen, go to the Owner Portal tab, and delete each portal user.)

Note: You should not delete an owner to indicate you have stopped doing business with them. You should inactivate their associated properties.
