This article describes how to record a deposit forfeit, a scenario where the landlord keeps the entire deposit, without applying it to existing charges (rent or other charges).
Setup for Deposit Forfeits
The setup for deposit forfeits requires a GL account and a charge code. Check to see if your database has them already; if not you can add them.
Go to Admin > GL Account. Search for a forfeit account. If there is none, add a new account. An example is shown below.
Go to Admin > Charge Codes. Search for a forfeit charge code. If there is none, add a new once. An example is shown below.
The Deposit Forfeit charge code should be linked to the Deposit Forfeit GL account.
To forfeit a deposit
Forfeiting a deposit is done on the Moveout screen, as part of the deposit accounting process.
Open the Tenant screen.
Click the Refund Deposit button. The Deposit Refund screen appears.
In the Moveout Details section, click Add Row.
Complete the row. Select the Deposit Forfeit charge code, and enter the amount of the deposit.
Click Post. Breeze creates a zero receipt, that links the deposit to the charge. No payable to the tenant is created.
To view the zero receipt, go to Accounting > Accounts Receivable > Receipts. By default, the screen does not show zero receipts. Open the filter and select the Show Zero Receipts option.
