When a main tenant moves out, you can "promote" a roommate, making them the main tenant. Breeze creates a new tenant record linked to the unit and copies over the following items: the current scheduled charges, the late fee set up, rentable items, attachments, the tenant ledger, additional tenants, and the roommate's photo, if there was one on the original record.
To promote a roommate
Open the tenant record for the main tenant. Click the Edit icon (the pencil).
Change the Status to Notice or Eviction. A popup appears.
Complete the screen as you normally would for a tenant giving notice -- enter the Move Out Date and select a Reason for Moveout.
In the Promote Additional Tenant field, select one of the additional tenants to become the main tenant.
Note: This drop-down menu only shows the active additional tenants attached to the main tenant's record.
If the promotion date is in the future, a note shows the move-out date and the promotion date.
Click OK.
New Tenant Record
When the promotion occurs, Breeze creates a new tenant record for the roommate.
A note shows that the tenant was promoted and has a link back to the former tenant's record.
Breeze copies over the following items: the current scheduled charges, the late fee set up, rentable items, attachments, the tenant ledger, additional tenants, and the roommate's photo, if there was one on the original record.
The roommate's RentCafe account is linked to the new tenant record, as well as the RentCafe accounts of other additional tenants who are still on the lease.
The deposit is not transferred to the new main tenant. You need to create a manual charge for it.
The Old Tenant Record
On the old tenant record, the status is changed to Past.
A note explains that a roommate was promoted and is now the main tenant.
The original deposit is not transferred. You need to refund it to the original main tenant.
Canceling a Future Promotion
If there is a change in plans, you can cancel a scheduled promotion at any time.
Go to the Tenant screen and click Cancel Promotion.
After canceling a promotion, if the main tenant is staying, you need to change the status from Notice back to Current.
If all the tenants are leaving, use the standard move-out procedure.
