Reviewing Receipts

A receipt is the record of a payment received from a tenant: cash, check, or an electronic payment. Receipts pay off charges, and affect the AR account and the Cash account.

To review a list of receipts

Go to Accounting > Accounts Receivable > Receipts.

Use this page to view existing receipts or to create a new receipt batch.

To help locate receipts, you can:

  • Click a column header to re-sort the list. (In the screenshot, we sorted the list by date.)

  • Use the Search field to locate specific receipts; for example, you could enter a tenant's name to view all their receipts.

  • Use the Filters, to limit the receipts shown on the screen.

To create a new receipt, click the Add New button at the top of the screen.

To view a single receipt record

When you click a line in the Receipts screen, an individual receipt record appears.

On the Receipt Information screen, you can view information about the receipt and see if it has been deposited or not.

In the lower part of the screen, you can see the charges that were paid off. To go to the Charge screen, click one of the charges on the list.

If the amount of the receipt was less than the charge, the Remaining amount will show the difference. If the receipt was greater than the charge, there will be a line for a prepayment.

If the Payment Reference is blank, that means no reference was recorded when the receipt was entered. Online payments will always have a system-generated reference here, but receipts that you enter manually will not. We recommend always recording the check number or some other reference here to ensure that your records are complete.

Receipt-Related Reports

In addition to viewing all receipts via Accounting > Accounts Receivable, the following reports are easy ways to look up payments from your tenants:

  • Tenant ledger: Navigate to Tenants > Tenants, select a tenant, and click the Ledger tab. This report gives you a complete list of transactions associated with that tenant.

  • Receivable detail report: Navigate to Reporting > Accounts Receivable > AR Analytics. Set the report type to Receivable Detail. You can further filter this report by property, tenant, or date. It will give you a list of charges and receipts associated with the tenant(s) you select.

  • Receipt register report: Navigate to Reporting > Financial Reports and click the Transaction Register report. Set the transaction type to Receipt. You can further filter this report by property, tenant, or date. It will give you a list of all receipts that match your report filters.
