This article explains the Auto Apply setting for prepayments.
Note: Changing the setting at the system-level does not affect existing prepayments (they will still be applied automatically), but it does affect all new prepayments.
What is the Auto Apply checkbox?
If a payment from a tenant is greater than the amount of the open charges, Breeze creates a prepayment. For example, a tenant pays her rent two weeks early, and there are no open charges, so Breeze creates a prepayment.
The Prepayment line has a checkbox for Auto-Apply:
If Auto-Apply is selected, Breeze will automatically apply the prepayment to the next open charge.
If Auto-Apply is not selected, you have to apply the prepayment manually. For more information, click .
In some cases, you might want to change the setting; for example, you want to reserve a prepayment for a specific charge. To change the setting, click the Edit icon and select or clear the Auto-Apply check box.
The Auto-Apply checkbox follows the default for auto-apply set at the system level (Company Settings > Account Settings).
Auto-Apply at the System Level
On the Account Settings tab of the Company Settings screen, you can set a default for Auto-Apply Prepayments.
On a new client database, it is set to Yes.
Changing the setting on the Company Screen only affects new prepayments. It does not affect existing ones.
For existing prepayments, you have to open the Receipt screen and select/clear the Auto-Apply check box manually.
