The menu path for AP reports is as follows: Reporting > Accounts Payable > [Report Name], for example: Reporting > Accounts Payable > AP Aging Report.
The following table gives a description of each report.
Report Name | Description |
Vendor Directory | A list of vendors and their setup information, with columns for vendor name, address, contact information, insurance expiration dates, status, receives 1099 (yes or no), and notes. Use this report to quickly export a list of vendors. |
Payee Ledger | View a sub-ledger for one or more payees (vendors or owners). The sub-ledger is a list of invoices for the payee, with detailed information about them. The report is similar to the Ledger tab on the Vendor screen, but you can filter the invoices and view totals. |
AP Aging Report | Shows unpaid payables in 30-day "buckets" -- 0-30 days, 31 to 60 days, 61-90 days, and over 90 days. Use this report to determine which invoices are overdue for payment. You can also use it with the Trial Balance report for accrual books to tie out A/P for the month. |
Payment Run | A list of payments (checks and EFT payments) with columns for payee, amount, date, and so on. From the report, you can drill down to individual payment records. Use this report to print a list of checks. |
Expense Distribution | View payables by expense account, with a total with each account, within a date range. |
To run an AP report
Go to Reporting > Accounts Payable > [Name of Report]. The filter appears.
Complete the filter and click Display. The report appears.
In some cases, the report appears without completing the filter. If you need to filter the results, click the filter icon (
)
To export a report
To export a report, click one of the buttons in the top right.
Excel: Breeze generates and downloads an Excel file.
PDF: Breeze generates and downloads a PDF file.
Email: Breeze opens another window, where you can compose an email message and send it with the list as an attachment (a PDF).
To drill down from a report
In many cases, you can start at a report and drill down to detail records. For example, from the Payee Ledger, you can drill down to invoices.
