How do I edit selection lists? (Custom Lists)

Custom list overview

On the Custom Lists page, you can edit selection lists for different Breeze features; for example, a list of Reasons for Move-out.

The Reasons for Moveout list is used when a tenant gives notice or moves out. When you change the tenant's status, a popup opens, where you enter the move-out date and select a Reason For Move-out.

The list of reasons for move-out can be edited, along with many other lists in Breeze.

How to set up custom lists

Go to Admin > Toolbox.

Click the Custom Lists tile.

The Custom Lists screen opens.

From the tabs on the left, select the list you are going to edit, for example, Reasons for Moveout.

For each list item, you can:

  • Edit the text.

  • Move the item up or down in the list, by clicking the arrow icons. (The order you see on the screen is the order the list will appear in the dropdown menu.)

  • Delete the item by clicking the trash can.

You can also add an item by clicking the Add Row button at the bottom of the screen.

Click the Save button after making any changes, including a deletion.

Note: After a list item has been used, you should not change its name or delete it.

When you add a maintenance request, you select a category, for example, Heating or Plumbing, and a Priority, for example, High, Medium, or Low.

Reasons for Moveout

When you move a tenant out, you must select a Reason for Moveout.

Contact Types

Contact Types are different categories for contact records, for example, Billing contacts or Emergency contacts.

Phone Number Fields

By default, there are two fields for phone numbers on screens for people. But you can add additional phone number fields, and you can edit the field labels.

Comm Tenant Fields

Res Tenant Fields

On the Tenant screen, there is a tab for Other Info where you can set up custom fields.

Comm Tenant Fields is used for commercial tenants; Res Tenant Fields for residential tenants.

Property Fields

On the Property screen, there is a tab for Other Info where you can set up custom fields.

Prospect Reasons

When you cancel a prospect, you must select a reason.

Deposit Labels

If you edit the default setup for tenant deposits, you might need to change the labels for different types of deposits.

Rentable Item Types

Rentable items are items that are rented to residents but not connected to units; for example, parking spaces, carports, and storage lockers.

Sources

On the Prospect screen, there is a field for Source (how the prospect found your property).

Activity Category

You can use activity categories to track different items on the calendar, for example, expiration dates for your property insurance.
