Introduction
This article describes how to modify some selection lists that are used in the prospect workflow.
When you add a prospect, you select a source -- how the prospect found the property; for example, a referral from a current resident or by visiting the property's webiste.
When you cancel or deny an application, you select a reason.
For both sources and reasons, you can modify the options that are available to users.
To modify the options for sources
The Prospect screen includes the Source field, shown below.
To complete the field, you select a value from a dropdown menu.
The menu contains two values that cannot be changed: RENTCafe.com ILS and Property Website. You can add other values or modify the current ones.
To modify the choices, go to Admin > Toolbox > Custom Lists (tile) > Sources (tab).
You can make the following changes:
You can edit the options; for example, you could change "Resident Referral" to "Tenant Referral."
To add a value, click Add Row. A new row appears where you can enter text, for example, "Newspaper Ad."
To delete a value, click the trash can icon at the end of the row.
To change the order of the values as they appear in the dropdown menu, use the up and down arrows.
Click Save when you are done.
To modify the options for reasons
When you cancel or deny a prospect, the system prompts you to select a reason.
To modify the choices, go to Admin > Toolbox > Custom Lists (tile) > Prospect Reasons (tab).
Complete the screen.
List Items | The reason, for example, "Bad Credit." You can edit the text as needed. |
Property | If you select a property, the reason will only appear for prospects at that property. If you leave the field blank, the reason is valid for all properties. |
Cancel Application Denials Cancel Move In | Select the scenarios where the reason will be an option; the same reason can be used in multiple scenarios. The scenarios are based on prospect status. See the table below for details. |
Trash can icon | Deletes the reason. |
Add Row button | Adds a row where you can enter a new reason. |
Click Save when you are done.
Scenarios for Reasons
The following table shows when a reason will appear, based on prospect or tenant status and the button you click.
