Adding the property URL to the RentCafe Invite letter

With the November 2023 Update, we added a token that allows you to include the property URL in the RentCafe Invite letter. This makes it easier for tenants to log into RentCafe and set up their account. Previously, they were directed to a RentCafe page where they had to search for their property before they could set up their account; with this new token, the link takes them to the correct property page and they can register their account immediately.

To use the new token, you need to update the email template for the RenCafe Invite letter.

To update the email template for the RentCafe Invite message

In the upper right-hand corner of the Breeze screen, click your initials and select Company Settings.

The Company Settings screen appears.

Click the Email Templates tab.

The Email Templates screen appears. Click the Edit icon (the pencil).

In the Type field, select RentCafe Invite Letter.

Locate the text that starts with "Simply click the link below..."

Change it to the following text:

Simply click the link below to be taken to the RENTCafe page where you can register your account.


^PropertyURL^

Click Save.

Tokens

In the text shown above, ^PropertyURL^ is a token. When Breeze creates the letter, it replaces the token with an item from the database, in this case, the URL of the property's page on the RentCafe website.

You can generate tokens in the Item to Replace field on the Email Template screen.

Select the item you want to replace, and the Token field will display the appropriate token.

Note: If you started Breeze before November 2023, you have to update the email template manually, using the procedure shown above. If you started Breeze after November 2023, your database has a newer version of the email template and you do not need to make any changes.
