What is a maintenance user?

If you set up a maintenance user, you can separate duties between property managers and maintenance staff. A maintenance user can only access the following pages in Breeze:

  • Maintenance requests

  • Inspections

  • Unit records (in order to perform inspections)

A maintenance user cannot access any other data in Breeze, including property setup, tenant records, transactions, and financial reports. You can also limit a user to a specific property.

To set up a maintenance user

Go to the Company Settings screen, and click the User Setup tab.

Click Add New and complete a row for a new user.

In the User Role field, select Maintenance.

The Maintenance Dashboard

For maintenance users, the dashboard is simplified, only showing items related to maintenance requests or inspections.

You can drill down to maintenance requests and inspections. Click the number in the top left (for example, Open Maintenance - 4). In place of the calendar, a list of maintenance requests appears.

If a maintenance request has a Due By date, it will appear on the calendar.

If you click it, details appear on the left, in place of the map.

Access to Maintenance Requests

On the Dashboard, a maintenance user can see open MRs that are assigned to them and open MRs that are not assigned. They do not see open MRs that are assigned to someone else.

On the Maintenance Directory report, maintenance users can see all MRs (assigned to them, assigned to someone else and unassigned).

On the MR screen, a maintenance user can change the person the MR is assigned to.

On the Update MRs in Bulk page, maintenance users can only see MRs assigned to them or not assigned to anyone. They cannot see MRs assigned to someone else.

These restrictions only apply to maintenance users. Regular users can see all the maintenance requests, regardless of who they are assigned to.
