RentCafe: Passwordless login

RentCafe Tenant Portals use Passwordless login to improve security and create a smoother experience for tenants. Tenants no longer need to create or manage passwords when signing up or logging in—they simply verify their identity using a secure method, like a one-time code or email link. Passwordless login replaces traditional passwords with modern, secure authentication. This protects tenants from threats like phishing and credential theft, while also reducing the risk of unauthorized account access.

If you're experiencing issues with Passwordless Login, a tenant-facing support line has been created: 1-833-711-1130.

New Authentication Options

To make logging in easier and more secure, Yardi offers three simple authentication methods for RentCafe tenants:

  1. Email Secure Link: Tenants enter their email address and receive a secure login link. Clicking the link takes them directly to their account—no password required.

  2. Third-Party Social Logins: Tenants can log in using their existing Apple, Google, or Microsoft accounts. If they are already signed in on their device, they are automatically taken to RentCafe without needing to re-enter credentials. If not, they are prompted to log in to the third-party platform first, then redirected.

  3. One-Time Passcode via Text or Email: Tenants receive a one-time passcode sent to their registered mobile number or email address, where they enter the provided code to access their account.

The screenshot below shows an example of the Continue with Email, Continue with Google, Continue with Microsoft, and Continue with Apple options on the Resident Services login screen.

Note: The passwordless feature does not impact the prospect registration process.

How it works

  • Tenants can log in using secure, time-limited codes or links.

  • One-time passcodes sent via email or SMS are valid for 10 minutes.

  • Secure login links sent by email remain active for 30 minutes.

  • The Preview Resident Services feature continues to function as usual and fully supports Passwordless login.

After six failed login attempts, the system temporarily locks the tenant out of their account for security purposes. See the last section of this article for instructions on how to unlock a tenant's account.

Note: If a tenant clicks an expired link, RentCafe does not count it as a failed login attempt.

Continue with Email

Tenants can log in using the email address linked to their RentCafe account:

  1. Select Continue with Email on the login screen.

  2. Enter the email address associated with the RentCafe account.

  3. Click Send Verification Code. Two options appear:

    1. Send Verification Code to Text – Sends a one-time code to the mobile number on file.

    2. Send Verification Code to Email – Sends a secure login link to the email address.

Note: Tenants with Microsoft accounts can log in using Continue with Email.

Continue with Google

  1. Select Continue with Google on the login screen.

  2. If the tenant is already signed in to their Google account on the device, they simply click the link to access their RentCafe account.

  3. If not signed in, Google prompts them to enter their credentials. After signing in, the system redirects them automatically to RentCafe.

Continue with Apple

Two options appear when Continue with Apple is selected:

  1. To log in with a password, tenants enter their Apple password to access RentCafe.

  2. To log in with a passkey, tenants scan the QR code, which opens a secure link to their RentCafe account.

Unlocking a tenant’s RentCafe account

When a tenant enters incorrect login information six times, the system locks their RentCafe account. You unlock the account in Breeze by navigating to the Tenant Information screen and clicking the lock icon.

Unlocking Additional Tenants

To unlock an additional tenant's account, go to the Additional Tenants tab and click the lock icon.
