Property Reports
The menu path for property reports is as follows: Reporting > Property > [Report Name], for example: Reporting > Property > Rent Roll.
The following table gives a description of each report.
Report Name | Description |
Property Directory | A list of all your properties. The report includes property information, such as the address, phone number, name of owner, number of units, reserve amounts, total SqFt and whether the property has been advertised on the Internet listing site, RentCafe.com. Use this report to see a snapshot view of all your properties. |
Maintenance Requests | A list of maintenance requests by property. Use this report to see a snapshot of all maintenance requests entered, along with their description, date created, date completed, tech notes, vendor or users they have been assigned to. |
Rent Roll | Provides a comprehensive overview of all your properties and units, including data about your properties, units, tenants, annual and monthly income. |
Income Projection | Shows income projections per property for the next 12 months based on current scheduled charges. Note: This report would also be good to compare what each unit paid monthly throughout the year. |
Rent Schedule | Shows all current and future scheduled charges per tenant, along with their expiration dates and amounts. |
Unit Directory | A list of units at a property, with information from the unit records: SqFt, market rent, deposit, occupancy status, and so on. |
Inspections Report | A list of unit inspections, showing all units that are currently being inspected or that have been inspected, including the date of the last inspection. By default the report shows in progress inspections, but you can use the filter to find completed inspections. |
Rent History | Shows the rent amount charged per month for each unit during a period of 12 months. It also displays the current market rent and the SqFt for each unit. This report allows you to see unit rent month by month and compare it with a unit’s market rent. |
Rent Increase | For each tenant, the report show previous rent, current rent, next scheduled rent, and calculates the dollar and percentage increase. |
Other Info | Information gathered from custom fields on property records, displayed in a report format. |
Rentable Items | The report lists all rentable items that have been set up in the system, per property, including the type, the item’s name, the market rent, and whether they are available or rented. If they are rented, it includes the name of the renter along with the from and to dates for that rental. Rentable items are items that are rented to residents but not connected to units; for example, parking spaces, carports, and storage lockers. |
Unit Vacancy | Detailed information about vacant units, including the number of days a unit has been vacant, the market rent, deposit amount, whether the unit is ready to be rented, the day it will become available for rental, and any future tenants. |
To run a property report
Go to Reporting > Property > [Name of Report]. The filter appears.
Complete the filter and click Display. The report appears.
In some cases, the report appears without completing the filter. If you need to filter the results, click the filter icon (
).
To export a report
To export a report, click one of the buttons in the top right.
Excel: Breeze generates and downloads an Excel file.
PDF: Breeze generates and downloads a PDF file.
Email: Breeze opens another window, where you can compose an email message and send it with the list as an attachment (a PDF).
To drill down from a report
In many cases, you can start at a report and drill down to detail records. For example, from the Property Directory report, you can drill down to individual property records by clicking anywhere in a row. From the Rent Roll, you can drill down to unit records, tenant records, and tenant ledgers. If you can drill down on a number, it appears in green.
