What are rentable items?

Rentable items are items that are rented to residents but not connected to units; for example, parking spaces, carports, and storage lockers.

This article is divided into three parts:

  • Setting up templates for rentable items at the system level (rentable item types).

  • Setting up rentable items at the property level.

  • Assigning rentable items to tenants.

To set up templates for rentable items

A rentable item type is a template that is used to create rentable items. At the system level, you create a list of types -- parking spaces, carports, storage lockers, and so on. If a property will use a specific type, it must be included in the system-level setup for rentable items.

Go to Admin > Toolbox > Configuration > Custom Lists and open the Rentable Item Types tab.

Add a line for each type.

The Market Rent is the expected rent amount for the item, but you can modify it when you assign an item of this type to a tenant.

In the Charge field, select a charge code. In the example above, we used the Parking charge code, but you can set up other charge codes as needed.

Use the Property field if you want to make an item type available for a single property (not every property in your portfolio).

Click Save.

To set up rentable items at the property level

After you add rentable item types, each Property record includes a tab for rentable items.

Before you set up rentable items, the tab looks like the screenshot shown above. After setting them up, the screen displays a row for each item. You can enter rentable items manually or import them. In this procedure, we show how to add them manually.

Enter the Number of Items and click Add. Breeze displays a row for each item.

For each row, select a Type and enter the Item number (for example, Parking 01). You can copy the information to the next row, and Breeze will increment the Item number automatically; for example, if you start with Parking 01, the next row will be Parking 02.

The Market Rent defaults from the amount set up at the system level, but you can edit it here if needed. The system tracks both market and current rent on rentable items.

Complete the screen and click Save. The completed screen is shown below.

Note: Instead of completing the screen manually, you can set up the rentable items for a property on a spreadsheet and import it. Begin by clicking Export Template. Complete the template and upload it, and the rentable items will appear on the tab.

To assign rentable items to tenants

Go to the Property screen and open the Rentable Items tab.

Locate the item you want to assign, and click the Assign button. A popup appears.

Complete the screen. You must enter a From date, but you can leave the To date blank, for an open-ended assignment.

You can accept the default rent amount (the Market Rate) or enter a new amount.

Click Save. On the Tenant screen, the rentable item appears on the Current Scheduled Charges tab.

The charge is marked as a charge for a rentable item with the "RI" icon.

If you click anywhere in the line, you can drill down to the Rentable Item Information screen.

On this screen, you can edit the setup information for the rentable item as well as the assignment to the tenant -- the dates and the monthly charge.

First Month Charges for Rentable Items (New Tenants)

If you assign a rentable item to a new tenant (before move in), the move-in charges will include a charge for the rentable item. If the move-in date is in the middle of a month, the rentable item charge is prorated, the same way that the rent charge is prorated.

First Month Charge for Rentable Items (Existing Tenants)

If you assign a rentable item to an existing tenant, the charge for the rentable item is created the next time you run monthly posting.

Example 1: It’s June 1st. You assign a rentable item starting in June. But you have already run monthly posting for June (on May 26th) so it does not include a charge for the rentable item. You can create an ad hoc charge for June for the rentable item, and monthly posting will pick it up in July.

Example 2: It’s May 25th. You assign a rentable item starting in June. On May 26th, you run monthly posting for June, and it creates a charge for the rentable item.

Example 3: It's May 15. You assign a rentable item starting today (5/15). To charge the tenant for the half month, you create an ad hoc charge. On May 26th, you run monthly posting for June, and it creates a charge for the rentable item for June.

To mark a rentable item as unrentable (inactive)

You can mark a rentable item as unrentable, making it is temporarily unavailable.

Go to the Property screen and open the Rentable Items tab.

Click the Edit icon, and select the checkbox for Unrentable.

Click Save. The Unrentable column shows Yes for that item.

The item cannot be assigned to a tenant.

To make it available again, click the Edit icon and de-select the Unrentable checkbox.

To delete a rentable item

To remove a rentable item permanently, click the Edit icon to open the Rentable Items tab for editing.

Locate the item you want to remove and click the Delete icon at the end of its row.

The item is permanently removed from inventory.
